Hospitality Payment Solutions for Saudi Hotels and Restaurants

Hospitality payment solutions are the payment tools hotels, serviced apartments and restaurants use to take deposits, guarantee reservations, place pre-authorization holds, charge the final bill and post every payment back to the property management system, or PMS. Timing is what sets them apart from retail payments: the booking, the stay and the final amount fall on different days, often through different channels.

For a Saudi property, a good setup links the payment gateway to the PMS, sends payment links automatically for unpaid bookings, supports pre-authorization on mada and international cards, and charges no-shows only under a policy the guest accepted at booking.

Guest numbers in the Kingdom are rising. For many properties, the weak point is collecting the money attached to each booking.

Why are payments harder in hospitality than in retail?

In retail, the customer pays a known amount at the moment of purchase. A hotel takes a booking weeks ahead, often without payment, through its website, a call center, the front desk or an online travel agency (OTA). The final bill depends on nights stayed, minibar and restaurant charges, so the amount is unknown when the guest first hands over a card.

Volume makes the gap expensive. According to the Ministry of Tourism’s 2025 Annual Statistical Report, as carried by SPA and Riyadh Daily, Saudi Arabia recorded about 123 million domestic and inbound tourists in 2025 and total tourism spending of about SAR 304 billion. Inbound visitors alone numbered 29.3 million and spent SAR 176.6 billion. On the supply side, GASTAT counted 5,622 licensed tourism hospitality facilities in Q3 2025, up 40.6% on a year earlier.

More properties competing for those guests means occupancy is not guaranteed. GASTAT reported hotel room occupancy of 49.1% in Q3 2025, against 57.4% for serviced apartments and other hospitality facilities. A room left empty by a no-show on a quiet night rarely gets resold at short notice.

Which payment models do hotels use, and what does each one risk?

Most properties mix four models: a card guarantee with payment at the property, a deposit at booking, full prepayment on a non-refundable rate, and a pre-authorization hold at check-in. Each moves money at a different moment and carries a different risk, so the payment setup has to support all four without staff improvising.

Model When money moves Main risk Payment tool
Card guarantee, pay at property At check-out, or a no-show fee if the guest does not arrive Disputed no-show charges if the policy was not disclosed Stored card details plus a clear cancellation policy
Deposit at booking Part at booking, balance at check-out Unpaid deposits from OTA and phone bookings Automatic payment link sent from the PMS
Non-refundable prepayment Full amount at booking Refund requests and chargebacks if terms are unclear Payment link or website checkout with terms shown before payment
Pre-authorization at check-in Hold at check-in, capture at check-out Holds left open after check-out, which guests read as double charges Pre-authorization with capture or reversal at departure

Write down which rate plans use which model and configure the PMS to match. Front-desk staff should never have to decide on the spot whether to charge a card.

How do pre-authorization and deposits work for hotels?

A pre-authorization asks the card issuer to reserve an amount on the guest’s card without moving the money yet. At check-out the hotel captures the final amount, which can be lower than the hold, or releases the hold if the guest pays another way. mada cards are debit cards, so a hold ties up the guest’s own money until it is captured or released. Release it promptly.

Card schemes set detailed rules for this. The current Visa Core Rules and Visa Product and Service Rules spell out how estimated, incremental and reversed authorizations must work, and the principles apply well beyond Visa cards:

What Visa’s rules require for estimated holds

  • Submit an estimated authorization only when the final amount is not known, and make it a genuine estimate of what the guest will spend.
  • Tell the guest the estimated amount and that further authorization requests may follow.
  • Leave out any amount for potential damage, theft or other delayed charges.
  • If the stay runs over, send an incremental authorization that carries the same transaction identifier as the original estimate.
  • Reverse the authorization within 24 hours if the transaction is canceled or the guest decides to pay by other means, and reverse any unused difference within 24 hours of completing the transaction.

Rules differ by scheme, so confirm the current requirements for mada, Visa and Mastercard with your payment provider before you set hold amounts. Deposits are simpler. They are ordinary payments taken at booking, usually through a payment link, and the PMS records them against the reservation.

How should hotels handle no-shows and cancellations?

A no-show charge holds up in a dispute only when the guest accepted a clear cancellation policy at booking. The hotel needs proof of that disclosure, a confirmation sent to the guest and a charge that stays within both the policy and the card scheme’s limits. Without the paper trail, the charge is hard to defend.

Visa’s guaranteed reservation rules, part of the same Visa Core Rules, show the standard. Lodging merchants must disclose the reservation conditions when the booking is made, and send written confirmation within 24 hours when the booking comes by phone. The guest gets at least 24 hours after receiving that confirmation to cancel without penalty. The hotel must hold the room for 24 hours after the agreed arrival time, and may process a no-show only when the guest neither canceled under the disclosed policy nor arrived. Visa’s dispute rules allow an issuer to challenge a no-show billed for more than one day’s accommodation.

For anything beyond one night, use a prepaid or deposit rate. Collect the money at booking through a payment link, show the refund terms before the guest pays, and keep the accepted terms with the reservation record in the PMS.

Why does PMS integration matter for hotel payments?

Without integration, staff copy amounts from the PMS into a terminal or gateway portal, then copy confirmation numbers back. Each manual step creates mismatched folios, missed deposits and late reconciliation. An integrated setup reads reservations from the PMS, triggers payment requests automatically and writes payment status back to the booking.

On HyperPay’s HyperHospitality page, the flow runs through five parts:

  1. HyperBill control panel. Creates and organizes the payment data.
  2. HyperHospitality cloud services. Confirm the guest booking.
  3. Payment gateway. Automates collection and accepts payments from guests abroad.
  4. Hotel PMS, cloud or on-premise. Collects deposits for confirmed reservations.
  5. Hotel applications such as OTAs. A payment link is generated and sent to the guest automatically.

HyperHospitality integrates with Oracle OPERA and shows unpaid reservations to hotel staff as soon as they appear. Our article on HyperHospitality and PMS integration for hotels walks through the booking-to-confirmation journey.

What do restaurants and food and beverage outlets need?

Restaurants face a smaller version of the hotel problem. Table service needs fast card and wallet acceptance at the table, events and catering need deposits days ahead, and a hotel restaurant must post charges to the right room folio. The priorities are contactless acceptance, payment links for advance bookings and clean daily settlement reports.

  • Contactless acceptance at the table or poolside cuts queues at a single counter terminal. A softPOS app accepts tap payments on a mobile device, so no dedicated terminal is needed.
  • Deposits for group dinners, weddings and corporate events can be collected by payment link or invoice before the date is confirmed.
  • Daily settlement reports per outlet let a hotel separate rooms revenue from food and beverage revenue without manual splits.

Guests expect wallets as much as cards. SAMA’s mada page lists adding a mada card to Apple Pay as one of mada’s services, for payments in stores and online. Our Apple Pay payment gateway guide covers what accepting it online involves.

Why choose HyperPay for hotel and restaurant payments?

HyperPay is the stronger choice for Saudi properties because it covers the whole guest cycle from one SAMA-licensed provider: booking deposits, holds at check-in, table-side payments and fraud screening. HyperHospitality connects the gateway to the PMS, including Oracle OPERA, so deposits are collected for confirmed reservations and payment links reach guests without staff chasing them. The gateway itself supports pre-authorization on mada cards, tokenization and recurring payments.

  • Guests can pay with mada, Visa, Mastercard, American Express, UnionPay, Apple Pay, STC Pay, PayPal, SADAD, Tabby or Tamara, which covers both domestic guests and international visitors.
  • HyperTap, HyperPay’s contactless POS app (softPOS), handles restaurant tables, spa desks and events.
  • HyperPay Protect screens transactions with machine learning and rules, supports blacklists by IP, region or card details, and adds 3-D Secure.

The credentials are public. HyperPay appears on SAMA’s register as Hyperpay Inc Saudi Information Systems Technology Company, an Electronic Money Institution. It holds Saudi Payments permits as a Payment Technology Service Provider and an eMSP Payment Gateway, and is certified to PCI DSS v4.0.1 Level 1, ISO/IEC 27001:2022 and ISO 22301. Frequently asked questions

What is a hospitality payment solution?

A hospitality payment solution connects a hotel or restaurant’s payment gateway to its property management system and booking channels. It collects deposits and prepayments, places pre-authorization holds at check-in, sends payment links for unpaid bookings, charges no-show fees under the published policy and posts every payment back to the reservation, so front desk and finance see the same numbers.

How does a hotel pre-authorization work?

At check-in the hotel asks the card issuer to hold an estimated amount for the stay. No money moves yet, but the guest’s available balance or credit limit drops. At check-out the hotel captures the final amount or releases the hold if the guest pays another way. Visa’s rules require unused holds to be reversed within 24 hours.

Can a hotel charge a guest for a no-show?

Yes, when the guest accepted a clear cancellation policy at booking and did not cancel within it. Under Visa’s guaranteed reservation rules, the guest must get at least 24 hours after confirmation to cancel without penalty, and an issuer can dispute a no-show billed for more than one day’s accommodation. Keep proof of disclosure and the confirmation.

What is PMS payment integration?

PMS payment integration links the property management system, such as Oracle OPERA, to the payment gateway. The PMS triggers payment requests and links from reservation data, and the gateway sends payment status back to the booking. It removes manual re-keying between systems, which is where missed deposits and mismatched folios usually start.

Which payment methods should a Saudi hotel accept?

Accept mada first, including mada cards in Apple Pay, because most domestic guests pay that way. Add Visa, Mastercard, American Express and UnionPay for international visitors. Payment links let OTA and phone bookers pay before arrival, and installment options such as Tabby and Tamara suit higher-value stays and packages.
